# Use Loyaltymaster with your POS without an integration

Keep loyalty and till records in step with a practical checkout routine for earning stamps or points, redeeming rewards and checking the day’s activity.

You can use Loyaltymaster alongside your existing point of sale (POS), or till, without connecting the two systems. Staff record the sale in the POS and use the Scanner App to add stamps or points, or redeem a reward.

The two records stay separate. Adding points in Loyaltymaster does not change the till total, and applying a discount in the till does not redeem a Loyaltymaster reward. A consistent checkout routine helps staff record both sides correctly.

## Decide what staff should record

Before setting up buttons in your POS, agree on three things:

- **What earns loyalty:** which purchases qualify and how many stamps or points they earn.
- **What a reward covers:** the eligible product, amount or discount, including any exclusions.
- **What staff record in each system:** the loyalty action in the Scanner App and the matching sale, tracking entry or reward discount in the POS.

Keep these rules beside the till. Staff should not have to decide whether a purchase qualifies during a busy checkout.

## Set up clear loyalty buttons in your POS

POS features vary. Ask your POS provider which of the following your register supports and how each appears on receipts and reports. The names below are suggested labels, not Loyaltymaster settings.

### Track stamps or points earned

If your POS supports it, create a zero-value, non-stock tracking item such as **Loyalty stamp earned**. It records the loyalty action without adding a charge to the customer's bill or representing another product sold.

Define the unit before staff use it. For example, if one tracking-item unit means one stamp, a purchase earning two stamps needs a quantity of two. A single button press per purchase will not match the stamp total when purchases can earn different numbers of stamps.

For points, use a field or quantity that can record the actual number awarded. If your POS cannot do that, use the tracking entry to count loyalty transactions instead. Compare transaction counts, not those counts against total points.

If your POS cannot create a suitable tracking item, ask about a consistent order note or modifier that can appear in a report. Confirm that your chosen method does not unintentionally change the amount due or stock records.

### Give rewards their own discount reason

Use a clearly named discount or promotion, such as **Loyalty reward: free coffee**, so it can be distinguished from other discounts in your POS reports.

For a free product, add the actual product to the sale, then apply the reward using your POS's supported discount method. This keeps the product visible in the sale record. Ask your POS provider to confirm the resulting stock, receipt and reporting behaviour.

A zero-value **Loyalty reward redeemed** tracking entry can help identify a redemption, but it does not remove the price of the reward from the bill. The appropriate discount still needs to be applied.

Keep loyalty buttons together where staff can find them quickly. Use staff logins and discount permissions supported by your POS so a supervisor can trace and review adjustments.

## At checkout: when a customer earns stamps or points

1. Ring up the customer's purchase in the POS and check that it qualifies for your loyalty offer.
2. Find the customer's card in the [Scanner App](/scanner-app/scan-and-make-transactions). Add the appropriate stamps or points and complete any required confirmation.
3. Record the matching loyalty entry in the POS using the unit you agreed on. Check the quantity or points amount before completing the sale.

The customer pays the sale amount shown by the POS. Their loyalty award is recorded separately in Loyaltymaster. If your POS prints the tracking entry, it should be recognisable as a loyalty record rather than an extra charge.

## At checkout: when a customer uses a reward

1. Open the customer's card in the Scanner App and check that the intended reward is available. A picture of a wallet card alone is not a completed redemption.
2. Add the eligible product or purchase to the POS sale.
3. Redeem the reward in the Scanner App, including its confirmation step. Check that the redemption completed before granting it in the POS.
4. Apply the matching loyalty discount in the POS and check the final amount the customer must pay.

For example, if the reward covers a coffee priced at **5.00** in your till currency, record the coffee at **5.00** and apply the eligible **5.00** loyalty discount. That coffee contributes **0.00** to the amount due; other items remain payable unless the reward also covers them.

If either action fails or the sale is cancelled, stop and ask a supervisor to check both records before retrying. Repeating a successful redemption or loyalty award could change the customer's balance again.

## Compare the records at the end of a shift

Compare the same location and time period in your POS and the available Loyaltymaster transaction records. Keep purchases, rewards, corrections and other adjustments distinguishable.

For stamps or points, compare the same unit on both sides. If your POS records one unit per stamp, **42 tracking units** should correspond to **42 stamps awarded for those purchases**. If the POS only counts purchases, compare the number of qualifying loyalty transactions instead. Separate any birthday awards, signup bonuses or other activity that did not come from a till sale.

For rewards, compare the number and type of successful redemptions with the corresponding POS discounts. Compare monetary values only where each reward has a known matching value. Seven redemptions of a **5.00** reward would account for **35.00** in discounts; seven rewards with different values would not.

If something does not match, check for a missing tracking entry, wrong quantity, duplicate action, cancelled sale, correction or a different reporting period. A difference is a reason to investigate, not proof of misconduct. Matching totals are useful, but do not guarantee that every individual transaction was correct.

## Keep the routine quick and traceable

Use one agreed sequence at every checkout. Train staff with a test sale and a test loyalty card before using the process with customers, and follow your POS provider's procedure for test transactions.

Where both systems support it, use a transaction reference to help match the records. Do not routinely copy a customer's phone number into a printed receipt or order note just to identify a loyalty transaction.

Check a sample receipt and the relevant reports with your POS provider before launch. Confirm how tracking entries and reward discounts affect stock, sales totals and tax reporting. The correct setup depends on your POS and accounting requirements.

### Can Kiosk Mode speed this up?

[Kiosk Mode](/scanner-app/kiosk-mode) can automate supported loyalty actions when a card is scanned. It still does not record the sale or apply the reward discount in an unconnected POS. Staff must continue the agreed till routine.

Use it where the automatic action matches your offer, and configure repeat-scan protection to reduce accidental duplicate transactions. Follow the Kiosk guide for supported card types, owner-account setup and testing.

## Choose the guide for your card

Use the [Scanner App transaction guides](/scanner-app/scan-and-make-transactions) for the exact steps for your card type. For a Stamp Card, see [adding stamps and redeeming rewards](/scanner-app/scan-and-make-transactions/scanner-app-stamp); for a Rewards Card, see [adding points and redeeming rewards](/scanner-app/scan-and-make-transactions/scanner-app-reward).
